AA-Automovers
AA Auto-Home Movers began operations in a trailer some years ago, using a simple web site that we
developed for them. As time went on we added more functions and features and their business grew, first
out of the trailer and then out of the office space they had rented. After another move or two, they
finally decided we were important enough to their business to move into our building.
AA is primarily in the business of moving vehicles around the country. Because almost everyone in this
business is a broker rather than a carrier (ie; they don't own their own trucks) pricing is always the
biggest issue. If the price is too low, the customer will buy but no carrier will take the vehicle. If
it is too high, the carriers would be happy but the customer won't buy. We have developed a series of
pricing systems for them to keep up with the pace of changing prices. With about 100 zones in the US
alone, keeping track of prices for almost 10,000 combinations would be more than a full-time job.
These days, AA is moving more cars in a single day than they used to in a week. With 15 full-time
employees, each of whom depends almost completely on our software, they have reached the height of
efficiency in operations.
When a potential customer goes to their web site and enters a request for a quote, it is priced
automatically and the price is sent back to the customer in an email immediately. The quote is also
assigned to a salesperson for follow up. Some of the quote requests arrive in emails from other lead
providers and our software does the same with them. Bounced emails are handled automatically by our system.
Once in the sales system each salesperson can see all the quotes that arrived during any selected period
or see follow-up phone calls that are required. Phone calls are scheduled from East to West in time zone
order. The sales system tracks each activity including phone calls, emails, corrections and so on. A
customer can book his order by phone, by email or on the web site. Once this is done, the system
generates a PDF of the contract and emails a link to the customer.
When the contract is returned, the quote now becomes an order in the dispatch system. Each dispatcher
can see all orders waiting for transport, sorted by requested pickup date and pickup/destination. The
dispatch system can assign orders to carriers and again produce all necessary paperwork to be sent in an email.
The customer service department has full access to all activity and is responsible for keeping the
customer informed about the progress of the move as well as dealing with any exception. All records are
kept forever in an easily-searchable system.
